What we collect, and what we don't.

Ovo Studios sells software that runs on your own hardware, precisely so research data does not have to sit in somebody else's cloud. That principle decides most of this page: for the great majority of what the product does, there is nothing for us to collect, because nothing reaches us.

01 / The short version

  • This website sets no cookies and runs no analytics. There is no tracking script, no tag manager, and no embedded third-party content. The one form on the site is the download form, described below.
  • Your study data never reaches us. Recordings, transcripts, notes, questionnaire answers and participant details stay in the project folder on your own machine. We have no copy and no way to obtain one.
  • The software does not phone home. There is no telemetry, no usage reporting, and no licence check over the network. A build-time check enforces this, and the exceptions are listed in full in section 05.
  • The AI runs on your machine. Summaries, findings reports and transcription are produced locally. No study content is sent to us or to any AI provider.
  • What we do hold is what you send us directly: the emails you write, and the licence details needed to issue a licence.

02 / This website

The site is a set of static pages. It sets no cookies, so there is no cookie banner to dismiss. There is nothing to consent to.

Our web server keeps standard access logs, as essentially every web server does. These record the IP address of the request, the page or file requested, the time, and the browser's user-agent string. They are used to keep the site running and secure, not to build a profile of you. They are retained for 30 days and then deleted.

Downloading the software leaves an entry in those same logs. There is no account to create, but the download form does ask who you are: your name, work email, organisation, and optionally your role. We use that to follow up about your evaluation, and we treat it exactly like an email you send us, on the terms in section 03: never sold, never rented, and you are not added to a mailing list. It is stored on our own server, not with any third-party form service.

Pages link outward to nothing: fonts, styles, images and scripts are all served from this site, so loading a page does not tell any other company that you visited.

03 / When you contact us

Every contact route on this site is an ordinary email link. When you write to us we receive what you chose to put in the message - typically your name, your email address, your organisation, and what you are trying to do.

We use it to answer you, to prepare a quote, and to keep track of an ongoing conversation. We do not sell it, rent it, or pass it to anyone for marketing. We do not add you to a mailing list because you asked a question.

Correspondence is kept for 30 days and then deleted. The licence details described in section 06 are the exception - we keep those for as long as you hold the licence, because they are what lets us re-issue or transfer it for you.

04 / Ovo Logger and your research data

A study is a folder on your own storage: a project database alongside the recorded video. Screen text indexing, speech transcription, event logging and AI analysis all run on that machine and write back into that folder.

We are not a party to it. We do not host it, receive it, back it up, or have any credential that would let us read it. If your participants are recorded, their video and their words are yours to hold and yours to protect, under whatever consent and retention rules govern your research.

In data-protection terms: for the personal data of your participants, you are the controller and we are not a processor, because the data never comes into our hands. If your organisation requires a data processing agreement covering participant data, the honest answer is usually that none is needed for the product itself, but tell us what you need and we will work through it with you.

The observer console and the participant console run on your own machine and are reached over your own network. Used that way, nothing about a session crosses the internet at all.

05 / Every time the software uses a network

This is the complete list. A check in our build refuses to compile network code into the recorder outside these paths, so the list cannot quietly grow.

  • Speech model download (once). The first time you transcribe audio, the speech model is downloaded if it is not already installed. It is a file download and carries no information about you or your study. Installations that include the AI Pack, and air-gapped machines supplied with the model, never make this request.
  • Remote observers, if you switch it on. Ovo Logger can relay the observer console through our server so a colleague outside your network can take notes. It is off by default and must be enabled per session - the setting is never saved on. While it is on, the notes and session information being exchanged pass through that relay in transit. It is a tunnel, not a store: nothing is written to disk there, and closing the session ends it. If this is unacceptable in your environment, leave it off and the product is fully self-contained.
  • Reporting an issue, if you choose to. The in-app issue reporter files a support ticket using your own tracker login. You decide whether to attach the diagnostics bundle; section 06 says exactly what is in it.
  • Checking for and downloading a new version. An ordinary download from this website, with the same server logs as any other visitor.

The live preview inside the app uses a network socket, but only to talk to itself on the same machine, that traffic never leaves your computer.

06 / Licensing and support diagnostics

Licensing. A licence is tied to one machine. To issue one we need your organisation's name and the Machine ID the app shows you - a fingerprint derived from that computer's hardware identifiers, reduced to a one-way hash. It identifies the machine to us; it does not tell us anything about its contents, its user, or where it is. We hold it so we can re-issue or transfer your licence later. Activation is entirely offline: the app never contacts a licence server, which is why it works on a machine with no internet connection at all.

Diagnostics. If you attach a diagnostics bundle to a support ticket, it contains the technical logs from recent recordings, the application's own error log, your settings file, and a summary of the machine and build (operating system, capture devices, software version). It is a support artefact, and we look at it to answer your ticket. It contains no recorded video, audio, transcript, note or participant information. You can open the zip and read it before you send it.

07 / The issue tracker

Customers and testers who are given an account on our issue tracker have a username, an email address, and whatever they write in tickets. It exists so we can fix things, and it is used for nothing else. Ask us and we will close an account and remove the personal details attached to it.

08 / Your rights

You can ask us what personal data we hold about you, ask for it corrected, or ask us to delete it. Write to sales@ovostudios.com and we will answer.

Depending on where you live you may also have the right to object to a use, to ask for a copy in portable form, or to complain to your data protection authority. We would rather you came to us first, but the right is yours either way.

Note that a request about participant data from one of your studies has to go to you, not to us. We hold none of it and could not find it if we tried.

09 / Children

Our website and software are sold to organisations and are not directed at children. If a study you run involves minors, the consent for that sits with you and your institution's own rules.

10 / Changes, and who to ask

If this policy changes we will update the date at the top. A change that meaningfully affects customers will be told to customers, not just quietly posted.
